Front of House/ Facilities Assistant

Calling for a Facilities Assistant with Front of House experience!


We currently have an exciting opportunity for a Facilities Assistant to join a global financial services firm on a full-time basis in their Birmingham office.

This role will be providing facilities support to the business, a part of a national team. This role is both working Front of House and as a Facilities Assistant.

Key tasks:
  • Professionally meet and greet clients, visitors, and staff, delivering an exceptional first impression
  • Efficiently maintain and update the meeting room diary
  • Accurately record and manage all incoming and outgoing couriers
  • Adhere to Firm policies, procedures, and Information Security standards
  • Proactively monitor meeting rooms, ensuring they are prepared and maintained to a high standard for meetings, lunches, and events
  • Responsibly manage invoicing processes
  • Maintain a clean, organised, and professional office environment
  • Ensure filing cabinets are organised, accurate, and up to date
  • Coordinate the timely dispatch of external post
  • Ensure the accurate distribution of internal and external mail
  • Conduct comprehensive Health & Safety inductions and efficient new starter set-ups
You will need the below skillset:
  • A positive and friendly manner
  • High standards of punctuality and efficiency
  • The ability to work both independently and as a team
  • Exceptional prioritisation and organisational skills
  • Self-motivated and driven
  • Knowledgeable of Microsoft Office and Microsoft Excel
  • Professional mannerisms and approach to all work activities
  • Communication skills at all levels
For this role you will need to have had previous experience in a reception environment, assisting with general tasks regarding the daily duties in the Birmingham office.
