Excel Careers and Excel Interim provide multilingual administrative support staff to companies across all sectors, specializing in profiles such as Receptionists, Management Assistants, Executive / Personal Assistants, HR Assistants, Sales & Marketing Assistants, Office Managers, Customer Service Representatives and Digital Marketing Officers. We provide both permanent and interim contracts.

We are currently recruiting an Executive Assistant for one of our clients, a law firm located in the centre of Brussels.

The Executive Assistant plays a key role in supporting partners by ensuring the smooth day-to-day operation of their professional activities. The position requires autonomy, discretion, and proactive problem-solving, with a strong focus on efficiency and service quality. The successful candidate will be trusted to manage sensitive information and operate with a high level of professionalism at all times.

Your Tasks and Responsibilities:
  • Coordinate calendars, appointments, and business travel arrangements
  • Oversee the preparation, organization, and maintenance of legal documentation
  • Record and monitor timesheets
  • Review and submit expense claims
  • Arrange and manage conference calls and international telephone communications
  • Open and maintain client and matter files
  • Develop presentations and professional materials using Microsoft Office tools
  • Plan, organize, and support meetings and internal or external events
  • Assist with the coordination of seminars and professional gatherings
  • Ensure accurate filing and classification of documents in line with firm procedures


Your Profile:

  • Demonstrated background as an executive, management, or legal assistant within a law firm or comparable professional services environment
  • Excellent command of English (both written and verbal); strong knowledge of French is highly desirable, with German considered an asset
  • Proven ability to manage multiple priorities in a fast-paced and demanding setting
  • Strong organizational and planning capabilities
  • Confident communicator, comfortable interacting with stakeholders at all levels
  • Self-motivated, reliable, and able to work both independently and collaboratively
  • Practical mindset with strong judgment and attention to detail
  • Adaptable and flexible approach to work
  • Proactive, solutions-oriented attitude
  • Advanced proficiency in Microsoft Office applications
