Legal Operations Specialist – Paris Office!

Excel Careers/Excel Interim is a Recruitment Consultancy specialized in administrative support profiles such as Receptionists, Management Assistants, Executive/Personal Assistants, HR Assistants, Sales and Marketing Assistants, Office Managers, Customer Service, Digital Marketing Officers, etc. We work with companies in a variety of sectors and offer both permanent and temporary contracts.

We are seeking a proactive and experienced Legal Assistant to work for one of our clients, a Law Firm in Paris. You would provide high-level administrative and operational support to the partners in the Paris office, including those visiting from other international locations. The role plays a key part in ensuring the seamless day-to-day functioning of the legal practice.

Key Responsibilities:

  • Manage the end-to-end billing cycle, ensuring timely processing of monthly invoices.
  • Support partners and associates in managing financial performance, monitoring file balances, and maintaining accurate financial reporting.
  • Assist with client relationship management, including CRM data entry and business development activities.
  • Coordinate the preparation and submission of client tenders and proposals, liaising with relevant internal and external stakeholders.
  • Oversee document management and compliance processes, including conflict checks and client due diligence.
  • Handle file openings, rate applications, engagement letters, and matter specifications.
  • Identify files ready for closure, reconcile balances, and oversee archiving of completed matters.
  • Manage inboxes, diaries, travel, and meeting arrangements for lawyers, anticipating needs and resolving scheduling conflicts.
  • Prepare meeting materials, itineraries, and travel documentation with precision and attention to detail.
  • Coordinate document production, formatting, and presentation materials for client use.
  • Provide administrative support across office operations—reprographics, mail handling, visitor reception, IT coordination, and event organization.
  • Ensure adherence to firm policies on risk, compliance, and quality assurance.
  • Complete mandatory internal training and contribute to the firm’s culture of continuous improvement.
  • Provide backup support to other assistants when required.

Skills and Experience:

  • Strong organizational skills, self-motivation, and the ability to take initiative.
  • Minimum of three years’ experience in a legal support role within an international or comparable professional services environment.
  • Excellent written and verbal communication in both French and English.
  • Exceptional attention to detail and the ability to prioritize in a fast-paced environment.
  • Strong interpersonal skills, with the ability to build productive working relationships and influence effectively.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, and Word); familiarity with Chrome River, 3E, and Intapp is an advantage.
