We are currently recruiting an Office Manager for one of our clients, a law firm based in Brussels. Salary package : monthly salary in line with experience.
Overview: The Office Manager is responsible for overseeing the operational, administrative, and financial functions of the Brussels office, ensuring smooth day-to-day operations. Reporting to global leadership, the role involves managing office facilities, budgets, HR functions, and compliance with local regulations while fostering a positive work culture.
Key Responsibilities:
Operations & Facilities:
- Liaise with building management to ensure maintenance, safety, and compliance
- Manage vendor relationships, office supplies, and service contracts
- Lead office refurbishments and relocations, ensuring minimal disruption
- Maintain health, safety, and fire regulations, keeping policies up-to-date and staff trained
Finance & Budgeting:
- Oversee the office's annual budget, approve invoices, and monitor expenses
- Manage local payroll and coordinate billing and collections with the finance team
- Ensure cost-effective financial practices and track budget variances
Human Resources:
- Manage recruitment, onboarding, and staff training in coordination with global HR
- Administer employee benefits and maintain compliance with local employment laws
- Promote positive morale and teamwork through engagement initiatives
Leadership & Administration:
- Supervise administrative staff, providing guidance and performance feedback
- Ensure efficient office procedures and maintain documentation within firm’s systems
- Organize office events and manage general administrative tasks
Qualifications:
- Bachelor’s degree or equivalent experience, with 5+ years in office management
- Fluent in English and French or Dutch
- Strong leadership, communication, and problem-solving skills
- Experience with financial management and HR
- Ability to thrive in a fast-paced, high-intensity environment
- Previous experience in Law Firm is a must
