Excel Careers and Excel Interim provide multilingual administrative support staff to companies across all sectors, specializing in profiles such as Receptionists, Management Assistants, Executive / Personal Assistants, HR Assistants, Sales & Marketing Assistants, Office Managers, Customer Service Representatives and Digital Marketing Officers. We provide both permanent and interim contracts.

We are currently recruiting an Executive Assistant for one of our clients in Brussels.
Salary package: monthly salary in line with experience.

The role is inclusive of, but not limited to:
  • Providing key administrative services to maintain an efficient office environment
  • Scheduling and overseeing routine checks for electrical systems and safety protocols
  • Managing office conditions and arranging repairs when necessary
  • Ensuring office supplies, including stationery and equipment, are adequately stocked
  • Overseeing the time-tracking system and ensuring accurate records
  • Monitoring office budgets and control expenses to ensure cost-effective operations
  • Serving as the primary point of contact for interactions with tenants, vendors, service providers, and building management
  • Regularly gathering and updating information from internal and external sources, particularly through online research
  • Planning and coordinating meetings and events, both domestically and internationally
  • Working closely with the operations team and ensuring that visitors, guests, and meeting attendees receive appropriate support
  • Organizing and maintaining the Executive Director’s schedule, and managing communications on their behalf
  • Assisting with drafting official documents and business correspondence
  • Handling administrative tasks related to travel, including filing expense reports and managing logistics
  • Providing assistance with the organization and following up on both internal and external company meetings
  • Researching and recommending optimal travel and accommodation options
  • Handling reservations for hotels, train tickets, and other necessary travel documentation
  • Ensuring timely delivery of all travel materials, including tickets and vouchers


Essential Skills and Experience:
  • A minimum of 5 years of relevant experience
  • A Bachelor’s degree or equivalent
  • Fluency in both English and French. Additional European language skills are highly desirable
  • Strong written and verbal communication abilities, with an emphasis on clarity and professionalism
  • Exceptional organizational and multitasking skills, with close attention to detail
  • Proficient in Microsoft Office Suite and able to quickly adapt to new technologies
  • A positive, proactive, and approachable attitude with the ability to stay calm in high-pressure situations
  • Independent worker who can solve problems and make decisions quickly
  • Flexible and dependable, willing to go the extra mile when necessary
  • Collaborative team player, with an emphasis on building strong working relationships
